A catering agreement can come in many forms but there are a couple of categories that are important for both the client and the caterer to insure a fantastically smooth event.

Category #1: The basics- which include date, time, load-in time, guest arrival, guest count and payment terms.

Category #2: The menu and all of the menu details including special dietary restrictions. In here I would also include quantities of staff, food and beverages. This is important to clarify upfront.

Category #3: Financial arrangements — deposit, final payment etc.

Category #4: Overview with rental order if included.

After those 4 key areas the basics are covered and you can add on anything else that you want but those are the basics. I tend to send a catering agreement with the cover letter first and then the actual agreement next but separate. And lastly the signature page. Good luck! Let me know how it goes.
